# Getting Started

This is a guide on how to get started with Airtomic and getting your dashboard setup correctly

**1. Start by adding a Data Source**

Start by connecting your accounts to your dashboard using the "Data Sources" tab. This will allow you to select the relevant accounts and campaigns when you create your Clients & Budgets.&#x20;

**2. Create a Client**

Select "Create Client" from the left menu navigation and enter the relevant details about your client or account. The selected time zone will impact how your data is displayed as the dates and times will match up with the chosen time zone. \

The currency will just display the corresponding currency symbol next to your metrics. This will not convert the values that are fetched from your digital accounts. The data is fetched as a raw metric, for example, if your Google Ads account is in USD and the spend for yesterday was $200 then the dashboard would display "200" even if you selected the currency as £ (GBP). \
\
If you have a client or account that has multiple accounts across multiple currencies and you wanted to match the display symbol for each currency then we'd recommend creating multiple clients and choosing the appropriate currency symbol.

**3. Then create a Budget**

Select "Create Budget" from the left navigation and then select the client you just created in the previous step. Budgets need to be assigned to a client so you need to create the client first.&#x20;

You can have multiple budgets across multiple channels in each Client. You can create a budget that is just for monitoring one channel e.g. "Client A - Google Ads" or you can group campaigns across channels to fit more complex structures, for example, grouping campaigns by product, service or location.

Once you've selected the relevant Client, you can choose the type of Budget you want to create. You can choose a standard Monthly or Weekly budget which will automatically renew or you can add a custom budget with specific start and end dates.

The budget amount and cycle can be adjusted at any time by selecting the budget in your dashboard view and clicking on "Edit".

Once the budget type has been set, you can add all of the campaigns that you'd like to keep track of. Clicking on an account whilst viewing the "Accounts" tab will filter to all of the campaigns in that account. You can the select the desired campaigns for that Budget.

You can also navigate back to the "Accounts" tab and select a different account if you need to track campaigns across multiple accounts or channels.

Best practice is to usually group either channels or product / service types together. For example, a simple structure and client / account would look like this;\

* Client A - Google Ads

Although a more complex structure could segment the budgets further to ensure budgets and performance are monitored separately, for example;

**Client B**

* Client B - Facebook Ads - Remarketing
* Client B - Facebook Ads - Prospecting
* Client B - Google Ads - Brand
* Client B - Google Ads - Generic (Product Group A)
* Client B - Google Ads - Generic (Product Group B)

We were tired of having to update Excel manually, wait for slow reports to load or check multiple channels and tabs just to do daily checks on our campaigns. # Edit A Client

You can edit a client by selecting one client on the "Clients" tab. This will take you to the "Edit Client" screen where you can edit the name, time zone and currency symbol.&#x20;

# Edit A Budget

You can edit a budget by selecting one budget on the "Budgets" tab. This will take you to the "Budget" screen where you can edit the name, amount or cycle.

You can also edit the budget name or amount in the dashboard view by clicking on the pencil icons that appear next to the names or amounts.

You can only do this on the "Budgets" tab. You can't edit the budget amount on the "Clients" tab as that is a sum of the budgets that you have for that client.

# Add or Remove Campaigns

You can easily add or remove campaigns by clicking on the "Add or Remove Campaigns" button that appears when you are viewing the campaigns for a certain budget. This will only appear if you are filtering to a particular budget and it wont show when viewing all campaigns.

You can also edit the campaigns in a budget if you select one or more campaigns from the "Campaigns" tab. This "Edit" button will only appear if you select campaigns that are in the same "Budget".&#x20;

Selecting "Remove" will remove the campaigns from their associated Budget and they will no longer be tracked in the dashboard. **This will not remove or edit the campaigns in your relevant ad platform.**

# Filter By Selection

You can filter to multiple clients, budgets or campaigns by using the selection tool in the far left column and clicking on "filter by selection".

# Team Overview

You can invite team members by navigating to the "Team" menu and clicking on "Add New User". This will bring up the below screen where you'll need to enter their email address and choose their access level.

You can remove users by clicking on "remove access". Removing a user profile will mean that they no longer have access to your dashboard.

Any data sources connected to this profile **will not be disconnected**. Despite this, the user can revoke the API connection through their relevant platform login if they choose to, so we would recommend reconnecting the data source through a user profile that has access to the platform.

Data sources are connected via OAuth user consent so that user will always have control over which third-party apps (e.g. Airtomic) have access to their ad platforms. This is why we would recommend connecting data sources via company email that is unlikely to be removed from the dashboard.

You cannot delete a user profile if you are the only admin so you will need to add another admin if you would like to remove the only admin’s access.

You can change a user's access level by clicking on the pencil icon next to their current access level. Only admins can perform this task and you can't change an admin to "Standard" or "Read Only" if you can the only admin who has access to the dashboard.&#x20;

# Usage & Billing

Airtomic's pricing is based on the total tracked spend in your dashboard. View pricing tiers at <https://airtomic.co/pricing/>.&#x20;

The monthly spend is calculated by summing up your tracked campaigns' total spend. If campaigns are in different currencies, they'll be converted to USD using the latest exchange rate.  Billing charges will exclusively be based on campaigns that are actively tracked within the dashboard throughout a given billing cycle, with tracking data recorded on a daily basis.

For instance, should any campaigns be removed partway through a billing cycle, their contribution to the "total tracked spend" will be proportional to the duration they were present within the dashboard. Likewise, newly added budgets, introduced midway through a billing cycle, will contribute towards the "total tracked spend" for the exact number of days they were tracked within the dashboard during that specific billing cycle.  Billing is available in USD, EUR, GBP, AUD, and CAD.

Billing is available in USD, EUR, GBP, AUD, and CAD. Choose your preferred currency when adding or editing your payment option.

We offer monthly invoicing for businesses managing over $1M USD in monthly spend and qualify for the “Enterprise Plus” tier. Contact us at <hello@airtomic.co> for more information.

Alternatively, businesses above $1M USD in monitored spend can choose to stay on the standard monthly subscription billed at **0.04% per $1 of monitored spend**. For instance, a $1M USD monitored spend results in a $420 monthly fee, while a $1.2M spend leads to an $504 USD monthly fee.\
\
The Enterprise Plus percentage rates may slightly fluctuate depending on the chosen billing currency and exchange rate variations.


# Privacy Policy

This Privacy Policy discloses the privacy practices of AIRTOMIC PTY LTD, a company duly incorporated in Australia, having its business address at 81-83 Campbell Street Surry Hills NSW 2010, our offices, subsidiaries, and associated companies (“**Airtomic**,” “**we**” or “**us**”).

Airtomic receives, collects, stores and manages personal information according to the following Privacy Policy, with the goal of incorporating the “Privacy by Design” approach.  When collecting your personal information, Airtomic ensures the secure storage of your data by taking appropriate security measures to prevent unauthorized access, disclosure, modification, or unauthorized destruction of personal information.  For the purpose of this Privacy Policy, Airtomic is the owner and data controller.

1.2.1      We collect data from every visitor and customer of our Website and services, in particular, we automatically collect data about your visit to the Website, your usage of our services, and your browsing activities. This anonymized information may include IP address, browser type, browser language, cookies data, performance specifications of the customer’s hardware and software, date and time of access to the Website, other information about how you interacted with our Website and our services.

**1.3 Data from your use of the Website and our products**

1.3.1      We may receive data about how and when you use the Website, store it in log files or other types of files associated with your account, and link it to other information we collect about you. This data may include, for example, your IP address, time, date, browser used, and actions you have taken within the Website. This type of data helps us to improve our Website, services, and products for both you and all of our customers.

Airtomic has in place an intra-group transfer agreement to safeguard these personal data transfers. If, in the future, we re-organise or transfer all or part of our business, we may need to transfer your information to new entities or third parties through which our business will be carried out. Depending on customer’s location, the data may be transferred to a country other than where the customer is located. If any such transfer takes place, you can contact Airtomic for enquiring more details.

4.3       We do not share your personal information with third parties, except for our service providers, such as providers of cloud services, and other information technology services providers, email communication software and email newsletter services, advertising and marketing services, payment processors, customer relationship management and customer support services, and web analytics services.

4.5       We employ and contract with people and other entities that perform certain tasks on our behalf and who are under our control (our “Agents”). We may need to share personal information with our Agents in order to provide products or services to you. Unless we tell you differently, our Agents do not have any right to use personal information or other information we share with them beyond what is necessary to assist us. You hereby consent to our sharing of personal information with our Agents.

**5.         Safeguarding** **your Personal Information**

5.1       The protection of your personal information is vital to us. We take commercially reasonable measures to protect your personal information from loss, misuse, and unauthorized access, disclosure, alteration, and destruction, taking into account the risks involved in the processing and the nature of the personal information. These security measures include, but are not limited to, 2-factor authentication, SSL certificate for HTTPS.

5.2       Our employees, contractors, and any business partners can access personal information on a need-to-know basis, and under strict duties of maintaining confidentiality. We use encryption for sensitive information and we test our system on a regular basis to ensure we comply with industry practices and standards. While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet, or method of electronic storage, is completely secure, and we cannot guarantee absolute security of any data.

5.3       You agree to protect the security of your login information and password and not to transfer such information to any third party. We will not be liable to you for the use of your account by any third party.

5.4       If you become aware of any unauthorized use of your account, you shall immediately notify us in writing.

**6.         Access to your Personal Information**

6.1       You may access your personal information held by us to correct, update and remove inaccurate or incorrect data. You have the following rights:

6.1.1        delete some or all personal information that we held about you;

6.1.2        change or correct your personal information that we held about you;

6.1.3        object to, or limit or restrict, use of your personal information;

6.1.4        right to access and/or take your personal information: you can ask us for a copy of your personal information in machine readable form;

6.1.5        access information we hold about you.

**7.         Changes to the Privacy Policy**

7.1       We may amend this Privacy Policy from time to time. Use of information we collect now is subject to the Privacy Policy in effect at the time such information is used. If we make major changes in the way we collect or use information, we will notify you by posting an announcement on the Website or sending you an email.

**8.         Merge of Company**

8.1       If Airtomic merges with, or is acquired by, another company or organization, or sells all or a portion of its assets, your personal information may be disclosed to our advisers and any prospective purchaser or any prospective purchaser’s adviser, and may be among the assets transferred. However, personal information will always remain subject to this Privacy Policy.

**9.         Data Retention**

9.1       We retain your personal information for as long as we need it to fulfil the purposes for which we originally collect it or as needed to provide with our services, except if required otherwise by law. Personal information collected for the purpose of the legitimate interests shall be retained as long as needed to fulfill such purposes. In certain cases, it is allowed to retain personal information for a longer period if the user has explicitly consented to such processing until the consent is withdrawn. In some cases, we may determine the period of data retention based on the period we need to access the data for the provision of services, receiving payment, or for any other auditing or legal purposes. Once the retention period expires, the personal information will be deleted without any possibility to rectify or transfer the deleted personal information.\

**10. GDPR and Client Data provided by Users**

10.1 As a service provider, we recognize our role under the European Union's General Data Protection Regulation (GDPR) as a data processor, rather than a data controller, for any client data containing personal information subject to GDPR requirements. This distinction means that our clients and users, as data controllers, retain control over the collection, usage, and processing of personal data. We neither collect nor determine the usage of any personal data within client data, nor do we have control over its collection methods or purposes. Our responsibility as a data processor involves processing personal data solely in accordance with the instructions provided by our clients and users. We are dedicated to upholding the confidentiality, integrity, and security of the personal data we process on their behalf.

**11. Limited Use Disclosure**

11.1 Airtomic's use and transfer to any other app of information received from Google APIs will adhere to [Google API Services User Data Policy](https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

These Terms and Conditions (the “Terms”) govern your use of the website <https://airtomic.co/> (the “**Website**”), owned and operated by AIRTOMIC PTY LTD, (ACN: 664469998, ABN: 76664469998), a company duly incorporated in Australia, having its business address at 81-83 Campbell Street Surry Hills NSW 2010, our offices, subsidiaries, and associated companies (“**Airtomic**”, “**we**”, or “**us**”).

These Terms, together with the Privacy Policy, is a binding contract between you (“**Customer**” or “**you**”) and Airtomic.

By visiting or using our Website and Services, you unconditionally and irrevocably agree to be bound by these Terms, Privacy Policy, and all applicable laws and/or regulations, which may be in effect from time to time, and you agree that you are responsible for this compliance.

We reserve the right to unilaterally revise these Terms and all linked content from time to time, at our sole discretion by updating this posting or any linked content. Unless otherwise indicated in a relevant revised version, the revised version shall enter into force immediately when posted. By continuing to access or use the Website and Services, you are indicating that you agree to be bound by the revised version. If you do not agree to continue to use the Website and/or Services on the basis of the revised version, you should cease to use our Website and/or Services.

You may not use or obtain any products or services from us if you are not at least 18 years of age, or any legal age to form a binding legal agreement with Airtomic.

**1.                  DEFINITIONS**

1.1       In these Terms the following capitalized terms have the following definitions:

**"Intellectual Property Rights"** means any and all intellectual property rights, existing worldwide and the subject matter of such rights, including (a) patents, copyright, rights in circuit layouts (or similar rights), registered designs, registered and unregistered trademarks, and any right to have confidential information kept confidential; and (b) any application or right to apply for registration of any of the rights referred to in paragraph (a), whether or not such rights are registered or capable of being registered and whether existing under any laws, at common law or in equity.

**"Services"** has a definition given in clause 2.1.

**"Customer"**, **"you"** or **"your"** means a user of our Services, being an individual or legal entity, or any agent, employee, or person authorized to act on such user’s behalf.

**2.                  DESCRIPTION OF THE SERVICES**

2.1              Airtomic provides a SaaS product that allows customers to track their online advertising spend (the “**Services**”).

2.2              Airtomic provides other related services, including, without limitation, hosting and maintaining this Website.

**3.                  WEBSITE AND SERVICES AVAILABILITY**

3.1              Airtomic uses commercially reasonable efforts to maintain our Website and Services on a twenty-four (24) hours a day, seven (7) days a week basis. However, our Website and Services may be inaccessible or inoperable due to equipment malfunctions, periodic maintenance, repairs, or replacements that we undertake from time to time.

4. **PAYMENTS; SUBSCRIPTIONS**&#x20;

4.1 Some of our Services can be purchased on a monthly subscription basis. \

4.2 Our fees for a monthly subscription are displayed on the Website. We reserve the right to modify these fees at any time by updating the fees on our Website. We may also temporarily adjust the fees for our Services during promotional events (e.g., discounts). Such changes will become effective upon posting the promotional event details on the Website. Unless otherwise agreed, customers above $1M USD in monitored spend will be billed at **0.07% USD per $1 USD of monitored spend**. For instance, a $1M USD monitored spend results in a $700 monthly fee, while a $1.2M spend leads to an $840 USD monthly fee. The Enterprise Plus percentage rates may slightly fluctuate depending on the chosen billing currency and exchange rate variations.\

4.3 Fees for our Services are billed immediately upon purchase. \
\
4.4 To cancel the renewal of your monthly subscription, you must do so before the next billing date. The next billing date corresponds to the first day of the subsequent 30-day billing period. To cancel your renewal, log in to your account and follow the cancellation procedure. Ensure that you receive a confirmation email indicating that your renewal has been cancelled. \
\
4.5 By purchasing our Services, you grant Airtomic authorization to initiate payment using your designated payment method. \
\
4.6 When providing payment method information through the Website, you warrant that: (a) you have the legal authority to supply such information to us; (b) you have the legal authority to execute payments using the payment method(s); and (c) such actions do not breach the terms and conditions governing your use of the payment method(s) or any applicable laws. By authorizing a payment using a payment method via the Website, you warrant that there are sufficient funds or credit available to complete the transaction with the specified payment method. \

4.7 You are solely responsible for settling any amounts owed under these Terms that cannot be collected via your payment method(s) through alternative means. \
\
4.8 While we strive to maintain the security of all transactions and personal information, we expressly disclaim any liability for damages that may result from unauthorized release of such information to third parties. You agree to hold us harmless for any damages that may arise from such incidents. \
\
4.9 If a payment fails or is declined, customers will have a seven (7) day grace period to resolve the outstanding balance by either retrying the original payment method or providing new payment details. Should the outstanding balance remain unresolved after the 7-day grace period, the customer will lose access to the dashboard until the balance is settled. Airtomic reserves the right to revoke customer access and delete Airtomic accounts with outstanding payments that have been inactive for 30 or more days.

**5.                  REFUND POLICY**

5.1              All fees and charges cannot be canceled and are non-refundable unless authorized so by Airtomic.

**6.                  FREE TRIAL**

6.1              Airtomic may offer a free trial of the Services for fourteen (14) days. We will not require to enter any billing information, provided that the account dashboard will be locked if a billing information has not been added to the account after the free trial ends.

**7.                  PROPRIETARY RIGHTS**

7.1              Airtomic is the sole owner and lawful licensee of all rights, title and interests available on the Website as well as the software, materials, videos, images, and other content displayed on the Website and through the Services.

7.2              You acknowledge and agree that our Website and Services contain proprietary and confidential information protected by applicable intellectual property and other worldwide laws. All title, ownership, and Intellectual Property Rights on the Website and its content shall remain with Airtomic, our affiliates, or licensors of the Website content, as the case may be. All rights not otherwise claimed under these Terms or by Airtomic are hereby reserved.

7.3              Any graphics, images, reports, scripts, tips, know-how and information created during the performance of the Services shall remain with Airtomic.

7.4              You further acknowledge and agree that any content contained in advertisements or information presented to you through the Website or by advertisers is protected by copyrights, trademarks (whether registered or being under registration), service marks, patents, or other proprietary rights and laws. Except as expressly permitted by applicable law or as authorized by Airtomic or the applicable licensor (such as an advertiser), you agree not to modify, rent, lease, loan, sell, distribute, transmit, broadcast, publicly perform or create derivative works based on the Services, such content or the Website, in whole or in part.

7.5              We may use services of third parties involved in the provision of the Services. You may not violate proprietary rights and use any trademark, service mark, or logo of such independent third parties without prior written approval from such parties.

c)                  For any purpose that is prohibited by the laws of the jurisdiction where you use the Services;

d)                  To create or transmit unwanted ‘spam’ to any person or any URL address;

f)                   To use the Services for more than one free trial;

g)                  To advertise to, or solicit, any user to buy or sell any products or services, or to use any information obtained from the Services in order to contact, advertise to, solicit, or sell to any user without their prior explicit written consent.

8.3              Further, all Customers agree that they will not engage in any of the following conduct:

a)                  posting any information and/or data or accessing the Website using automated methods (such as, but not limited to, harvesting bots, robots, spiders, or scrapers) without our written permission;

b)                  using the Services in a manner contrary to the use we have authorized such as, but not limited to, interfering with the Services;

c)                  use the Website and Services in any way or take any action that could harm, disable, overburden or otherwise impair performance, availability, or accessibility of the Website and Services;

d)                  accessing the Website and Services through a method other than the interface and the instructions that we have provided;

e)                  reproduce, download, send, sell, resell, transmit or otherwise post and/or distribute unauthorized advertising information, spam (including spamdexing), lists of e-mail addresses of other people, pyramid schemes, multilevel marketing (MLM), Internet earning systems, and e-mail businesses, chain letters as well as use the Services for participation in any of the above;

11.3          The foregoing does not affect any warranties which cannot be excluded or limited under applicable law.

**12.              RELEASE AND INDEMNITY**

13.2          TO THE EXTENT PERMITTED BY LAW, THE TOTAL LIABILITY OF AIRTOMIC FOR ANY CLAIMS UNDER THESE TERMS, INCLUDING FOR ANY IMPLIED WARRANTIES, IS LIMITED TO THE TOTAL AMOUNT YOU PAID US TO USE THE SERVICES WHICH GAVE RISE TO THE RELEVANT CLAIM.

13.3          IN ALL CASES, AIRTOMIC WILL NOT BE LIABLE FOR ANY LOSS OR DAMAGE THAT IS NOT REASONABLY FORESEEABLE.

**14.              DURATION AND TERMINATION**

14.1          These Terms will remain in full force and effect while you use the Website or Services.

14.2          We reserve the right to restrict your access, temporarily or indefinitely suspend Services if:

a)         you breach these Terms or other policies;

b)         we believe that your actions may cause any loss or liability to our Customers or to us;

c)         we believe, in our sole discretion, that your actions may cause legal liability for you, our Customers, us, or our affiliates; may be contrary to the interests of the Website or the user community; or may involve illicit activity.

14.3          Any terms and conditions of these Terms that may survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity, and limitations of liability.

You further agree to and do hereby waive any right to class arbitration and agree, instead, to conduct an arbitration related solely to any individual claims you and/or any entity related to you asserts against Airtomic. To the fullest extent permissible by law, you further agree that you shall be responsible for all costs associated with initiating the arbitration and for the administration of the arbitration.

16.2          Notwithstanding the specified agreement on jurisdiction, the Customer and Airtomic shall, if any dispute arises, attempt to settle it by mutual negotiations.

**17.              MISCELLANEOUS**

17.1          Nothing in these Terms shall be interpreted as agency, partnership, joint venture, mutual activities, employment, franchiser-franchisee, or any other relations not directly stated in these Terms.

17.2          If any provision of these Terms is held to be invalid, non-binding, or unenforceable, the remaining provisions shall remain valid and be enforced. In such event, such invalid provision shall nonetheless be enforced to the fullest extent permitted by applicable law, and you will at least agree to accept a similar effect as the invalid, unenforceable, or non-binding provision, given the contents and purpose of these Terms.

17.3          These Terms constitute the entire and exclusive understanding and agreement between you and Airtomic regarding the Website and Services.

17.4          You may not assign or transfer these Terms, by operation of law or otherwise, without prior written consent of Airtomic. Any attempt by you to assign or transfer these Terms, without such consent, will be null and of no effect. Airtomic may assign or transfer these Terms, at its sole discretion, without restriction. Subject to the foregoing, these Terms will bind and inure to the benefit of the parties, their successors, and permitted assigns.

17.5          The failure of Airtomic to enforce any right or provision of these Terms will not constitute a waiver of future enforcement of that right or provision.
